Can my staff log into Bookeo and 'accept' to run a tour/activity?
It is fairly common for a business to have casual staff members. Some of them may be available to run a tour/activity, but their availability may change from week to week. Staff members can log into Bookeo and accept to run a tour/activity.
Here are the steps you should follow to let staff members assign themselves to a tour/activity:
In this article:
- Step 1 - Set up your staff members as resources
- Step 2 - Set assigned staff member as "to be determined" in the tours/activities schedule
- Step 3 - Set up your staff members as account users
- How staff members can accept to run a tour/activity
If you haven't already done so, set up your staff members as resources in Settings>Resources, under the same resource type, for example, "Guides". Click here for more information
In the Trips or Games section of the resource type, tick the tours/activities that will use these resources.
In the tour/activity schedule, leave the assigned staff member as "to be determined"
- Go to Settings>Tours and activities
- Click on a tour/activity
- Go to the Schedule tab
- Make sure that in the tour/activity schedule, the assigned staff member is "to be determined"
If you haven't already done so, set up your staff members as account users in account>users. Click here for more information
In the Permissions - Special operations section, make sure that the Change tours checkbox is ticked.
In the Permissions - resources section of the user's settings page, make sure that account users have 'read and write' permission for themselves. For example, the account user Bill should have 'read and write' permissions on the resource Bill.
Now staff members can sign into their Bookeo account to see upcoming tours/activities. Tours/activities with a staff member set to be determined will show it with 3 question marks on the calendar.
The user can simply click on the tour/activity, and select themselves as the guide , then Save to be assigned to that tour/activity
